Responsibilities: Official Correspondences: Draft official correspondences in both English and Portuguese with precision and clarity. Translation: Simultaneously translate between English and Portuguese in various contexts, ensuring accuracy and maintaining the intended meaning. Event Management: Master of Ceremonies (MC) for embassy events, ensuring smooth communication and coordination. Report Writing: Prepare comprehensive reports that articulate key information and findings effectively. Administrative Support: Answer phone calls, conduct research, schedule meetings, and respond to requests with professionalism and efficiency. Meeting Coordination: Assist in internal meetings, ensuring optimal use of resources and facilitating communication. Organizational Goals: Contribute to achieving organizational goals while adhering to best practices in administrative tasks. Mail and Shipment Management: Handle incoming/outgoing mail and shipments, maintaining an organized and tidy office environment. Support to Senior Staff: Provide administrative support to senior staff, including email correspondence, memos, letters, spreadsheets, and other relevant tasks. Travel Arrangements: Coordinate domestic and international travel arrangements for embassy employees. Database Management: Maintain an organized archive system and contact database. Preferred Skills and Qualifications: Multicultural Experience: Previous experience in a multicultural environment. Process Development: Experience in developing internal processes and filing systems. Collaboration: Ability to liaise with senior administrative assistants and handle requests and queries from senior colleagues.
