The Opportunity We are looking for a highly organized, proactive, and detail-oriented Administrative Assistant to join our team in Porto, Portugal. This is a full-time, on-site position. Working closely with senior management, you will provide administrative and operational support across several business functions, including Human Resources and office administration, contributing to the efficient day-to-day operations of our growing international team. Key Responsibilities Provide administrative support to senior management and executive staff. Prepare reports, presentations, spreadsheets, and other business documentation. Conduct research and compile information to support business activities and management decision-making. Support payroll preparation and related administrative processes. Assist with Human Resources administrative tasks, including employee documentation, onboarding support, and record management. Organize and maintain physical and digital documentation. Provide day-to-day administrative support to employees and assist with internal HR-related matters. Coordinate meetings, appointments, calendars, and internal communications. Liaise with employees, suppliers, and other internal and external stakeholders when required. Handle sensitive company and employee information with a high level of confidentiality and discretion. Ensure administrative processes are accurate, well organized, and completed within established deadlines. Provide general office support and contribute to the continuous improvement of administrative procedures. Requirements Bachelor's degree in Accounting, Business Administration, Management, Human Resources, or a related field (preferred). Minimum of 2 years of experience in a similar administrative or office support role. Excellent written and spoken English (mandatory). Knowledge of Spanish is considered a strong advantage. Knowledge of Portuguese is valued. Advanced knowledge of Microsoft Office Suite, particularly Excel, Word, PowerPoint, and Outlook. Strong organizational and time-management skills. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Strong analytical and problem-solving abilities. High level of accuracy and attention to detail. Strong sense of integrity, responsibility, and reliability. Ability to work independently as well as collaboratively within multifunctional and international teams.
